Event settings
Once your event exists, you configure it from the event's edit page in Organizer HQ. This guide covers what you can set.
Basics
- Name and header image.
- Start / end date, time, and time zone.
- Event format: physical, digital, or hybrid.
- Registration open: whether people can register.
- Registration limit: an optional cap on registrations.
- Allow self check-in: let hackers check themselves in (on by default).
- Private (invitation only): hide the event and require an invite to join.
Venue and location (physical/hybrid events)
- Venue name and address (street, city, region, postcode, country). City and country are required for physical and hybrid events.
- Venue contact: name and email for the venue.
Description and organization
- Event description, who can attend, schedule, and prizes.
- Organization details: name, type, description, and website.
- Attendance target.
Links
- Chat URL (Discord/Slack) —
https://is added automatically if you leave it off. - Devpost website (if your event collects Devpost) and a submission link.
Shipping (for swag and prizes)
- A shipping address for the event.
- Shipping contact details (name, email, phone) — these are managed by MLH in the admin settings for your event.
Publishing
Your event moves through draft → pending → in progress → ended (and can be canceled). Publish it when the details are ready; you can revert a future-dated event back to draft if you need to keep editing.
:::info Maintainer note Confirm which settings are organizer-editable vs. MLH-admin-only in the live UI, and the exact publish/cancel controls and their labels. :::
Parent event (for GHW mini events)
If you're running a GHW mini event, set its parent to the main GHW event so that check-ins count toward bonus swag — see GHW event setup.
